Next, touch base with your direct manager about your estimated dates for leave and your benefits coach will follow up with your manager later with the finalized details.


STEP 2:

Meet
Your Benefits
Coach

 

During your first meeting for parental leave, your benefits coach will go through the following:

  • The current parental leave policy
  • Your preliminary leave calendar
  • Required forms to complete

Please be ready with:

  • Your estimated parental leave start date
  • Any questions you may have

STEP 3:

Review
The
Forms

Following the first meeting with your benefits coach, promptly start working to complete all applicable forms listed below and submit no later than 2 weeks into your parental leave.


STEP 4:

Benefits
Coach
Memo

 

Your benefits coach will send your direct manager an official memo, with the following:

  • Overview of current parental leave benefits offered

  • Preliminary dates for your parental leave schedule

  • Explanation of required manager approval in the case of:

    • Additional leave extension beyond 12 FMLA weeks

    • Request to work from home before or after parental leave
    • Authorized status change from full-time to part-time
    • Change in work schedule post return to work

STEP 5:

Sign,
Seal,
Deliver

 

When your leave begins, kindly send a note to your benefits coach confirming the last day worked.

With this information your benefits coach will revise dates on all required forms and finalize your parental leave calendar to ensure that you are in agreement with the following:

  • The official first day of leave

  • The portion of your leave that is paid

  • The portion of your leave that might use accrued PTO: vacation, personal, floating holidays*, or summer days* (*only applicable if PTO is currently available or during summer season)

  • The portion of your leave that might be unpaid

  • The date you are expecting to return to work

Please note:  

  • You must submit required forms, no later than 2 weeks into your leave.

  • Should your unpaid portion of parental leave fall within any company holidays (ie. Thanksgiving, year end office closing, etc.) you will not receive holiday pay as you are technically an inactive employee while on leave.


STEP 6:

Create
Dayforce
Life Event

 

Following a Qualifying Life Event like the birth or adoption of your child, you have a 30 day window from the life event date to add your child to your Havas health insurance. To do so, follow these steps:

1. Login to DayForce

  • Company = Havas
  • User Name = Firstname.Lastname (ie: John.Doe)
  • Password = Year of Birth+Login (ie: 1973Login) / or the password you created

2. Click the Benefits icon, and then click the Forms tab

3. Select Life Event Declaration form and fill in the following:

  • Event Date (Delivery or Adoption Date)
  • Life Event Option (Birth or Adoption of Child)
  • Upload File (Birth Certificate or Adoption Record) 
    • You may use alternate proof from the hospital to initiate the process, but a Birth Certificate/Adoption Record is required for completion.
  • Add comment and submit

4. Once the Life Event Declaration form is approved, you can now add your little one(s) to the benefits of your choosing:

  • Login to Dayforce, Click Benefits tab
  • Begin Life Event Enrollment Window

STEP 7:

Your
Last Weeks
On Leave

 

When you're nearing the end of your leave, connecting with your team at work can help ease your transition back. Should you need to adjust your schedule, now is the time to discuss it with your direct manager.

Open Line Of Communication
Approximately 2-3 weeks before you return to work, reach out to your direct manager to discuss your transition back, and any scheduling needs you may have.

HR Conversation With Manager
Two weeks before the end of your 12 week FMLA allotment, your benefits coach will contact your direct manager as a friendly reminder noting the following:

  • Your anticipated return to work date
  • Any additional days out on caregiver leave beyond the FMLA* 12 week allotment (requires manager approval) *If FMLA is applicable

STEP 8:

Return
To
Work

We understand that it will take time to acclimate to your new responsibilities and fine-tune your work-life balance. We’re here to help you during this transition. 

Your First Day Back
You will meet with your team for a briefing to discuss:

  • The current projects
  • The deadlines
  • Where you fit into the current projects

You will also have a one-on-one with your manager to review:

  • Any changes to your schedule
  • Priorities and expectations as you return to work
  • Any departmental changes, if applicable 

Informal Sit Downs
Your manager should schedule regular sit downs to discuss your progress at work, and any issues or concerns regarding your transition.

90 Day Check-In
This is an opportunity to reflect on how you are adjusting back to work.

The Wellness Room
As you return to work, you may encounter moments in your day when you need a timeout or you need to pump. Your benefits coach will take you on a tour of the wellness rooms, and add you to the wellness room calendar. Should you need to adjust your wellness room schedule, we encourage you to reach out to the other employees on the calendar to reschedule your time. We kindly ask that you keep the wellness room tidy after each use.

It's always a good idea to connect with other new parents at Havas for advice and support. You may also reach out to our Employee Assistance Program provided by E4Health for assistance in finding daycare centers, babysitters and much more.
